II. Writing a transactional letter.

You know that information could be spread through television - News program is a good example, you can also get information reading newspapers, and you can transmit information talking to each other, surfing the net, e-mailing and writing to each other or to different people. Today we continue speaking about letters.

T: Why people write letters?

St 1: People write letters to inquire or give information, accept or refuse invitations, give advice, or complain about something.

T: You are right. Is it important to think about who we are writing to?

St 2: Yes, it is important because if we use the wrong style, the letter will look odd, silly or impolite. For example, if we wrote to a company and used informal language, the letter would look impolite. If we wrote to a friend and used formal language, the letter would look odd.

T: Are there any factors which help us to decide whether the letter is formal or informal?

St 3: These factors are:

  • The opening of the letter (e.g. Dear Sir/Madam or Dear Mary)
  • The topics in the letter (e.g. when formal, they should be only facts)
  • The language used (e.g. formal or informal)
  • The closing of the letter and the name at the end of it (Yours sincerely, Peter Brown or Love, Peter etc)

T: Do you remember the general outline of the letter?

III. Now we are going to speak about transactional letters and the letter of complaint in detail.

1) A transactional letter has a practical purpose. You want to get something done and it requires a reply from the person you send it to. The reply is based on advertisements, other writing input, and letters.

Please open your books, page 50 and read about when we could write a letter of complaint.

St 5: A letter of complaint is written when one wants to protest about specific problem.

What does the language used depend upon?

St 6: The language used depends upon whether you want to complain in a mild or strong way.

3) Let’s have a look at the outline for the letter of complaint.

While writing a letter try to organize the information clearly into paragraphs. Make sure each paragraph has a topic.

4) Now it’s time to practice:

Read the letter of complaint and number the paragraphs in the right order. Then find a topic of each paragraph. Is it a mild or strong complaint? Justify your answer. Add salutation and name.

5) Writing this kind of letter is not an easy matter, so I would like to give you a piece of practical advice:

  1. Always read the instruction carefully and decide on the appropriate style of the letter: formal or informal.
  2. Timing: read the instruction (5 min),
  3. write a plan/ think of ideas (10 min),

    write your answer (25 min)

  4. Include all the information provided in the question using you own words.
  5. Explain in the first sentence why you are writing.
  6. State in the last sentence what you expect from the reader.
  7. Use key words from the information given. Don’t copy whole sentences.
  8. If asked to write to an official or company, you should:
    • begin your letter with either Dear Sir/Madam or Mr/Ms/Dr + the person’s surname
    • use formal language
    • end your letter with Yours sincerely/ Yours faithfully
    • sign your letter with tour full name
